Primary objective
Provide high-level administrative and reception services in clinical ward settings, prioritising revenue capture and timely
completion of tasks with professionalism and a patient-centred approach.
Key duties and responsibilities
1. Provide efficient unit reception and clerical services to meet the needs of the patients, public and multi-disciplinary
teams.
2. Conduct patient interviews to verify demographic details and financial status, ensuring prompt and accurate data entry
to optimise revenue generation.
3. Assist patients in completing relevant patient election forms and other necessary forms to support accurate funding
claims.
4. Operate multiple computer systems, ensuring accuracy of sensitive information related to patient activities.
5. Arrange ward admissions, transfers, patient travel, discharges and follow-up appointments through the relevant
channels.
6. Ensure patient records are organised according to Medical Records Standards (AS2828) and provide assistance in
compiling hospital discharge paperwork.
7. Multi-skill to other designated areas to support the cross-functional Patient Services administration teams.
8. Generate and raise purchase requisitions and ensure timely processing of creditor invoices.
9. Assist in coordinating all clinic bookings within the ward, including sending appointment reminders and ensuring
availability of medical records for each appointment.
10. Follow defined service quality standards, work health and safety policies and procedures relating to the work being
undertaken in order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Proven ability in providing high-quality customer service, while maintaining professionalism and efficiency in
administrative tasks.
2. Proven ability to uphold strict confidentiality and privacy standards, handling sensitive information with discretion.
3. Demonstrated ability to communicate effectively with a diverse range of stakeholders, utilising strong communication
skills both verbally and in writing.
4. Ability to use or learn various computerised information systems, commonly used in hospitals or administrative settings.
5. Ability to effectively manage conflict, change, deadlines, and administrative decisions under high pressure and time
constraints.
6. Demonstrated ability in streamlining administrative processes to maximise efficiency and productivity.
7. Ability to work without direct supervision and to use initiative and problem solving skills.
8. Proven ability to deal with sensitive issues at times, which may be stressful to the patient or client.
9. Ability to interact and communicate effectively with people from diverse cultures.
Desirable
1. Certificate qualification in Medical Terminology.
2. Experience within the Health Sector and familiarity with Government IT systems.
