We’re looking for a Digital Project and Production Manager to play a key role in ensuring the smooth delivery and resourcing of projects and delivery of TVC’s for one of Australia’s leading not-for-profits. This position is based in Melbourne; 1.0 or 0.8 FTE over 5 days. This role is central to project success, driving velocity, client satisfaction, high-quality outputs and profitability through proactive and effective project and resource management. You will develop and manage detailed production timelines, meticulously track budgets, and proactively identify and mitigate potential risks. You will be expected to build and maintain strong relationships with senior stakeholders at both the client and agency levels. This includes providing clear, concise, and proactive communication, managing expectations effectively, and confidently presenting project updates, risks, and solutions. Collaborating closely with production companies and their producers, you will also be the key point of contact for scoping, planning, and ensuring seamless execution across all production phases, from developing comprehensive briefs and ensuring their execution, to overseeing on-set activities and managing post-production deliverables to meet deadlines and budget. Ultimately, you hold responsibility for the successful, efficient, and profitable delivery of campaigns.
What You Will Be Doing:

Project Management: You will oversee project setup, including setting up new projects, gathering assets, setting kick-off and WIP meetings, and meticulously tracking project health.

Production Management; You will be responsible for proactive production budget management, scope development, managing timelines, client approvals, identifying risks and facilitating contingency plans. This includes arranging pre/post-production, creating briefs, acting as the key contact for production companies and clients, attending shoots, and overseeing post-production to ensure timely, on-budget, and compliant deliverables

Client Communication & Delivery: You will manage client communication throughout the project lifecycle, ensuring timely and on-budget deliverables. Additionally, you will support client growth by nurturing new opportunities and needs of the client.

Project Profitability: You'll set billing milestones and track project invoices, ensuring accurate and timely client communication. Additionally, you'll monitor task progress, proactively plan within budgets, and manage workload to achieve both quality and financial goals.

Resource Management & Planning: You will drive resource optimisation for the agency, collaborating with stakeholders to understand project demands and implementing effective resource planning within the agency tool (Kantata). This includes managing schedules, and proactively communicating any resource changes to stakeholders.
What We Need You To Have:

Seasoned Production & Project Manager: 8+ years of agency experience in production and project delivery

Delivered High-Caliber Campaigns: A proven track record of successfully producing high-quality social/digital and video campaigns (online and TV), expertly managing all pre- to post-production stages. This includes scoping, production team sourcing, budget approval, planning & project management through pre-shoot to post production phases to final asset delivery.

Influential: Exceptional leadership and relationship-building skills, consistently engaging and building rapport with senior and C-suite stakeholders.

Optimised Resource & Workflow Management: Demonstrated ability to effectively manage resources and prioritise competing deadlines to consistently deliver high-quality creative output.

Strategic Campaign Ownership: Takes full ownership of campaign planning and production, driving efficient and profitable outcomes.

Confident & Proactive Client Partner: Highly confident in presenting project deliverables, budgets, and timelines, proactively managing client expectations through clear communication and strong relationships, and anticipating future needs.

Meticulous & Organised Executor: Possesses exceptional multi-tasking and organisational skills, ensuring thoroughness and accuracy in all aspects.

Can only work 4 days per week; this role needs to be over 5 days
