Legal Services operates as an independent professional legal practice within the department and is comprised of the General Counsel, directors, lawyers and support staff. We pride ourselves on excellent customer service and work collaboratively with our internal stakeholders to achieve the department's strategic objectives.
Your Responsibilities
- Provide confidential executive and administrative support to the General Counsel in a fast-paced and sensitive working environment including preparing documents, appointment, diary, email and records management, reporting, procurement and travel.
- Contribute to arranging meetings and workshops, preparing agendas and minutes.
- Maintain effective working relationships with the offices of senior executives, internal and external clients, demonstrating diplomacy and tact.
- Develop and maintain effective business systems and processes.
- Administer and support the effective running of Legal Services administrative systems including the legal practice management software and the legal opinion database in collaboration with the Practice Manager and other administration team members.
- Produce reports and summaries in collaboration with the Practice Manager on administrative, financial and reportable matters for consideration by the General Counsel.
- Support the general operations and administration of the Legal Services unit in consultation and collaboration with the Practice Manager and administration team.
- Coordinate and assist the General Counsel and divisional staff with the resolution of administrative tasks and issues.
- Review confidential reports and executive correspondence to assist with quality assurance and manage correspondence and critical information flows through the office.
- Support the implementation of divisional projects, events and training.
- Contribute to fostering a safe, healthy and inclusive workplace culture.
