The Opporutnity We are looking for a Buyer's Assistant to support the buying team in product selection, supplier management, and inventory coordination. Key Responsibilities
- Supplier Management
- Assist in researching and identifying trends to support product selection
- Maintain and update vendor and product information
- Communicate with suppliers regarding order updates, sample requests, and general inquiries
- Ensure product details align with brand guidelines and quality standards.
- Inventory & Sales Management
- Assist in monitoring inventory levels and replenishment needs
- Support the team in tracking deliveries and ensuring stock availability
- Help coordinate markdown lists and product allocations
- Work with logistics teams to facilitate order processing and timely deliveries.
- Market & Trend Analysis
- Conduct research on industry trends, competitor assortments, and emerging styles
- Assist in gathering insights on customer preferences and market demand
- Support the team in preparing reports on product performance and trends
- Financial & Performance Metrics
- Assist in tracking key performance indicators (KPIs) such as sales and stock levels
- Help maintain OTB (Open-to-Buy) documentation and budget tracking
- Provide administrative support for seasonal planning and forecasting processes.
- Cross-Functional Collaboration
- Buying Team: Provide administrative support and assist in daily tasks
- Supplier Communication: Liaise with suppliers for product samples, order updates, and data management
- Marketing Team: Assist in gathering product details for marketing campaigns and promotions
- Visual Mechandising Support the team in ensuring accurate product descriptions and merchandising alignment
- E-Commerc Team: Help maintain online product data, including descriptions and imagery.
- Raising purchase orders (POs) – creating and tracking POs, ensuring product data is accurate.
- Vendor communication – confirming order details, delivery windows, and resolving delays.
- Managing critical path/timelines – supporting buyers to ensure deadlines are met across buying and product development.
- Sample coordination – requesting, receiving, and organizing samples for fittings or marketing use.
- Stock intake & system maintenance – ensuring system data is correct pre-arrival (SKUs, barcodes, pricing).
- Working cross-functionally – supporting the buyer in communication with planning, warehouse, and ecommerce.
- Strong attention to detail – essential for data entry, purchase orders, and stock accuracy.
- Time management & organisation – handling multiple tasks and deadlines across product cycles.
- Excel proficiency – VLOOKUPs, pivot tables, and basic formulas for range plans, order tracking, and sales analysis.
- Communication skills – liaising with suppliers, warehouses, internal teams (planning, warehouse, marketing).
- Numerical literacy – working with margins, costs, pricing, and quantities.
