Own the end-to-end coordination and delivery of energy-efficient installations across Victoria.
We’re a trades-led, family-owned business based in North Geelong, delivering high-efficiency hot water systems, heating and cooling upgrades, and solar installations. We work within government rebate programs to help homes and businesses reduce energy costs and emissions — handling the full process from consultation to installation and support.
We’re looking for a hands-on, detail-driven Installations & Job Delivery Coordinator to take full ownership of the day-to-day rollout of installations. If you thrive on getting jobs over the line and working closely with subcontractors, suppliers, and internal teams — this role is for you.
About the RoleThis is not just a scheduling role — it's about making jobs happen . You’ll be the operational hub for all installations, working across hot water, HVAC, and solar. From confirming job details and coordinating contractors, to ensuring stock is in place, compliance is accurate, and on-site issues are resolved fast — you'll be across it all.
Key responsibilities:

Take full ownership of scheduling and delivering installations — liaising with subcontractors, customers, suppliers, and internal teams to ensure every job is ready and runs smoothly

Proactively manage and monitor the job pipeline, keeping everything on track across multiple trades and timelines

Organise and confirm delivery or pickup of units and materials

Ensure all rebate and compliance documentation is in place before, during, and after each install (VEECs, STCs, Solar Victoria, etc.)

Communicate daily with subcontractors about upcoming jobs, requirements, and timing

Quickly resolve on-site issues (e.g. access, materials, scope changes)

Handle post-installation follow-ups, including warranty callouts and rectification needs

Ensure job records and compliance documentation are accurate and audit-ready

Continuously improve processes to reduce delays, inefficiencies, or errors

Manage accounts receivable related to completed installations

Assist with onboarding new subcontractors, ensuring they meet compliance and documentation requirements

Proven experience coordinating trade-based jobs, installations, or field services — experience within the construction or trade industry is highly preferred but not essential

Strong operational mindset and ability to manage multiple moving parts

Excellent communicator who can work with subcontractors, customers, and internal teams

Highly organised with strong attention to detail and follow-through

Tech-savvy and confident using job management systems

Calm under pressure and confident solving issues in real time

Trade knowledge or experience in HVAC, hot water, or solar is a bonus

Forklift licence is helpful but not required
