eSafety's structure consists of the Office of the eSafety Commissioner and three divisions:
• Regulatory Operations Division: with Branches focused on Education, Prevention and Communities; Investigations; Industry, Compliance and Enforcement
• General Counsel: including our Legal Services Branch
• Technology and Strategy Division: with Branches focused on Strategy, Engagement and Research; Technology, Data and Digital Enablement; Strategic Communications; Business Operations and Governance.
The key duties of the position include
This is an exciting opportunity to work as part of the Digital Workplace and Data Services team providing critical advice and expertise in relation to the management of eSafety's information assets. In undertaking this role, you will need to engage and collaborate with staff in the broader Technology, Data and Digital Enablement branch, Technology and Strategy Division and provide services and support across all business functions of eSafety.
As the Senior Records and Information Management Officer you will provide expert advice on records and information management and lead the development of eSafety's Information Management Strategy and supporting frameworks and policies. You will also play a key role in the training and implementation of these policies. You will own and optimise eSafety's record management solutions, manage sentencing and destruction projects and support FOI and other information management activities.
Your responsibilities will involve developing and implementing policies, frameworks and processes for the creation, management and use of information assets to meet the legal, regulatory, risk and operational requirements of eSafety and its business areas.
You will lead the implementation of improved records and information management practices and processes to transform how eSafety staff engage with and manage information assets. This will involve engaging with key business areas to understand their records and information management needs and work with them to deploy consistent, best practice solutions.
We are seeking a highly motivated and experienced Senior Records and Information Management Officer who will:
• Provide expert advice on records and information management (RIM) and governance (with a focus on digital information management) including recordkeeping requirements and best practice and work closely with business areas to ensure the advice is put into practice, using effective communication to influence positive outcomes.
• Lead the implementation of whole-of-government policies, standards and guidance as promoted by the National Archive of Australia and ensure that business areas understand and apply these standards.
• Develop, review and update eSafety's RIM strategy, framework and policies and lead the training, implementation and ongoing compliance with these strategies through close collaboration with business areas across eSafety, driving continuous improvement and building a commitment to shared goals.
• Develop and implement a taxonomy and Information Architecture for eSafety's record keeping system and information collaboration spaces (SharePoint/Intranet), and manage eSafety's recordkeeping system including file sentencing, digitization and destruction projects
• Act as product owner and admin for eSafety's records management system to ensure proper use and ongoing improvements. Work with the Digital Workplace and Data Services team, and our vendor, to provide continuous improvement of our Management in Place Record Management Solution, including the development of relevant ontologies , with a goal of uplifting compliance across the organisation.
• Collaborate with other members of the Digital Workplace and Data Services team to keep staff informed of RIM management obligations, and customise guides, procedures and training materials, to increase education and awareness across the organisation.
• Oversee and direct RIM activities with a focus on service delivery, operational needs and eSafety's broader strategic and operational outcomes, including management of records management reporting (such as the Harradine report).
• Promote and effectively manage key relationships with internal stakeholders (including the senior executive), external stakeholders and service providers, promoting eSafety's business objectives.
• Provide advice and support in relation to FOI processes, information workflows (particularly formal documents) and the use of various technology solutions (such as Microsoft Purview) to improve information management at eSafety.
