About the Role
We are seeking a proactive and detail-oriented Workforce Coordinator to join our supportive team on a full-time basis. This key position is responsible for end-to-end coordination of workforce mobilisation, recruitment, scheduling, and administrative support for site-based personnel. Working across a variety of industries including health, mining, and labour hire, you will ensure staffing aligns with operational needs while maintaining a strong focus on compliance and client service.
You will report to the Key Client Project Managers, Head of Training, and Clinical Operations Manager and work collaboratively across multiple internal and external stakeholders to support effective service delivery.
Key Responsibilities
- Coordinate mobilisation of employees including travel, accommodation, inductions, PPE, and medical checks
- Manage end-to-end recruitment: advertising, screening, interviewing, onboarding, and compliance checks
- Maintain employee and compliance records to 100% accuracy
- Build and sustain positive relationships with clients and employees, including regular engagement checks
- Support rostering, timesheet management, and project-based workforce planning
- Ensure timely quoting and procurement processes prior to mobilisation
- Assist with administration duties including data entry, documentation control, and internal reporting
- Provide out-of-hours support for urgent mobilisation or client requests when required
- Ensure high standards of customer service and communication at all times
- Promote a collaborative and supportive team environment
- Monitor and manage skills and training compliance via skills matrices
- Identify and escalate potential workforce issues to management promptly
- Contribute to continuous improvement and efficiency of workforce processes
- Minimum 2 years’ experience in a similar coordination, scheduling, or mobilisation role
- Certificate IV in Human Resources (desirable)
- Prior experience in Health, Mining, or Labour Hire industries highly regarded
- Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint)
- Familiarity with systems such as JobAdder, INX, Fieldglass, SAMS, MyPass, VEVO, and XREF
- Excellent time management and organisational ability
- Clear written and verbal communication skills
- Adaptable and solutions-focused with high attention to detail
- Professional, dependable, and collaborative team player
- Able to prioritise tasks in a fast-paced environment
- Strong stakeholder engagement and interpersonal skills
- Commitment to Work Health and Safety (WHS) standards
- Ability to undertake occasional out-of-hours support
