Executive Assistant (To Leadership)

Katherine West Health Board
Darwin Full-day Full-time

Description:

This Might Be the Role You Didn’t Know You Were Looking For

  • Are you organised and proactive - but flexible enough to go with the flow when things get busy?
  • Do you love working with genuine people who care deeply about what they do (and aren’t afraid to have a laugh along the way)?
  • Are you the kind of person who thrives behind the scenes - keeping things running smoothly, quietly solving problems, and making life easier for your team?
  • Can you juggle calendars, prep important documents, and manage complex priorities - all while staying calm, composed, and thoughtful?
  • And most importantly… would you love to be part of a close-knit, purpose-driven leadership team that’s driving positive health outcomes for remote communities across the NT?

If this sounds like you, we think you’re going to love this opportunity with Katherine West Health Board (KWHB).

Who We Are & What We Stand For

Katherine West Health Board (KWHB) is a community-led Aboriginal health service providing primary healthcare, emergency services and wellbeing programs across more than 160,000 square kilometres of remote NT from the WA border down to the tip of the Tanami desert.

We’re not your typical workplace. We’re grounded in cultural security, built on trust, and driven by a shared goal: community-led health outcomes for our mob in the bush. Our work is meaningful and challenging and we do it together, supporting our teams through everything from board meetings to bush healthcare.

As an Aboriginal community-controlled organisation, we’re deeply committed to inclusion, local leadership, and long-term impact. From family services and mental health to large-scale regional partnerships, we’re working on some innovative projects - and we’d love for you to be part of them.

What You’ll Be Doing (and Why It Matters)

We’re on the lookout for a full-time Executive Assistant to support our Health and Family Services Leadership Team. You’ll be based in Katherine or Darwin - with occasional travel out bush - and work closely with committed and collaborative leaders.

This isn’t your average EA role. You’ll play a key part in how we operate - from preparing papers and coordinating high-level meetings to making sure the right voices are heard at the right time. You’ll also work alongside our EA to the CEO to keep our governance processes smooth, efficient, and on track.

Your day-to-day might include:

  • Coordinating meetings, prepping agendas, and chasing up actions
  • Managing calendars and travel for execs
  • Working closely with other leaders to keep key projects and reports on track
  • Helping out with board meeting prep and supporting cross-team governance
  • Writing, formatting, and reviewing reports, emails and documentation
  • Being a reliable point of contact for both internal teams and external partners

How We’ll Help You Settle In

We know starting a new job can feel like a big leap - especially in a unique, close-knit organisation like ours. That’s why we’ll give you the time and support to listen, learn, and understand how things work before asking you to take the reins.

In your first weeks, you’ll spend time shadowing our EA to the CEO to get a feel for our governance rhythm. You’ll attend a board meeting, visit one of our bush community health centres, and begin to understand how we work in the bush.

It’s important to us that you take in the bigger picture , build relationships, and get a real sense of Katherine West - not just how we work, but why we work the way we do. From there, we’ll help you step confidently into the role, knowing you’re grounded in context and supported by a team that’s got your back.

What You’ll Bring to the Team

We’re looking for someone who’s confident, capable, and considerate - someone who takes initiative, keeps things moving, and enjoys being a behind-the-scenes organiser.

You’ll ideally have:

  • Strong admin and scheduling experience, with excellent attention to detail
  • Great written and verbal communication skills
  • A knack for staying on top of priorities - even when there’s a lot happening
  • Experience with Microsoft Office 365 and collaboration tools like Teams
  • A calm, professional approach - especially when managing confidential info
  • A willingness to learn and adapt - and a sense of humour definitely helps!

Bonus points if you’ve worked in Aboriginal health or remote communities, but it’s not essential. We care more about your mindset, your skills, and your ability to fit in with a team that’s smart, supportive, and dedicated.

Why You’ll Love Working Here

We know this work isn’t always easy but we do everything we can to make it worthwhile. You’ll be supported, valued, and given the space to grow.

Here’s what we offer:

  • $90,000 - $96,000 + super, depending on experience
  • Flexible work location (Katherine preferred, Darwin can be negotiated for the right candidate)
  • Paid travel to remote NT communities
  • Comprehensive onboarding support from our leadership and Corporate services team
  • A key support position with a genuine, down-to-earth leadership team
  • Relocation assistance
  • Leadership development and training opportunities
  • A friendly, grounded, and inclusive workplace driven by community control

We’d Love to Hear From You

If you’re looking for a role that’s meaningful, varied, and full of character - and if you want to work with people who take the work seriously (but not themselves) - then we’d love to hear from you.
