Job Description;
As the Events Coordinator at Armadale Cellars you will be directly responsible for the execution of a busy and dynamic wine event and education program. You will be responsible for all aspects of the program from conceptualisation and planning of events through to execution and reporting.
You will report directly to the Managing Director of the company and be part of a team based culture with the aim of the role being to maintain and grow the existing events program through your experience, ideas and drive.
The hours of the role are flexible with the Events Coordinator overseeing events up to 3 or 4 nights per week during peak event periods.
The Events Coordinator will work both onsite and at premium Melbourne restaurants. As the Events Coordinator you will be responsible for building positive relationships with winemakers, restaurants and caterers.
While working directly with local businesses you will nurture key accounts and focus on delivering great customer service and selling outstanding wines.
Key Responsibilities:
- Event and course planning
- Event and course logistics and budgeting
- Event calendar management
- Event marketing
- Booking management
- Administration
- Communication with venues, suppliers and customers
- Customer and Supplier relationship management
- Post-event sales, reporting and analysis
- Coordinating event staff to execute events in an organized and professional matter
Planning:
- Ensure that regular events are scheduled in advance and visible on the company events portal and website
- Liaise with Winemakers and Suppliers regarding potential events
- Provide concepts for potential master-classes and themed events
- Budgeting event costs to set ticket prices and forecast event sales profitability
Logistics:
- Ensure events and courses are executed professionally from start to finish
- On-going development of procedures and checklists for effective event and course execution
Calendar management:
- Manage the overall calendar of events
- Schedule forthcoming events and courses
Event Marketing:
- Creation of promotional material for events
- Manage the communication and sending of invitations to customers
Event bookings:
- Creation of events and management of course dates on the bookings portal and company website
- Be the primary contact for customer bookings for courses and events
Administration and Reporting:
- Creation of material for events and courses e.g. order forms, booklets, name tags etc.
- Post-event costing and profit reporting
- Monthly/quarterly/annual event performance reporting
Communication:
- Communicate effectively with relevant suppliers regarding all aspects of forthcoming events
- Communicate effectively with and update Managing Director regarding event and calendar planning
- Communicate effectively with Armadale Cellars staff regarding assistance required for forthcoming events
- Communicate with customers regarding upcoming events
Customer and Supplier Relationship Management:
- Development and maintenance of relationships with key customers and suppliers
- Deliver and exceed customer and supplier expectations
- Deliver a high standard of service at events and courses
Event facilitation:
- Oversee the smooth running of events both onsite in the cellar and at offsite venues
- Direct events team members to set up, execute and pack down events
- Work effectively with offsite venue staff to deliver outstanding experiences for attendees
- Provide outstanding customer service
- Oversee catering preparation for onsite events and carry out plate drops and table clearing
- Schedule and carry out pouring of wine brackets
Retail & POS:
- Carrying out Point Of Sales transactions may be necessary during busy periods
- Provide excellent customer service and make informed wine sales suggestions
- Take orders over the phone
- Invoice and bill customer accounts
Skills, Characteristics & Qualifications:
- Excellent communication and organizational skills
- Hospitality FOH or Customer Service skills are a must
- Attention to detail
- Time Management
- Ability to sell in a competitive environment
- Ability to work both independently and in a dynamic team environment
- Ability to use initiative
- Neatly presented with a great personality
- A Strong passion for wine and interest in further development of wine knowledge
- At least WSET Level 1 or 2 or equivalent wine education
- Proven passion for all things wine related
- Previous experience in the wine industry is a massive advantage
- Computer proficiency is a must
- Experience with Microsoft office suite – especially Word and Excel
- Experience using Canva, mailerlite or other similar graphic design or e-mail newsletter
- Previous experience in a similar role
- Driver's license is not necessary but would be advantageous
