Description:
- Drafting, editing, and formatting legal documents such as contracts, pleadings, letters, and discovery requests.
- Thoroughly reviewing legal documents for errors in grammar, punctuation, and formatting.
- Organizing and maintaining case files, ensuring all relevant documents are properly filed and accessible.
- Scheduling client meetings, depositions, court hearings, and other legal appointments.
- Preparing and filing necessary court documents according to established procedures.
- Handling incoming and outgoing legal correspondence including drafting letters and emails.
- Answering client inquiries and providing basic information about legal matters.
- Maintaining office supplies and handling other administrative duties as needed.
- Handling incoming and outgoing calls, taking messages and directing calls appropriately.
- Welcome clients and greet clients and direct them to the appropriate lawyer.
- Offer clients and stakeholders tea, coffee, drinks or water while waiting or with lawyers.
- Answering client inquiries regarding appointments and basic legal matters.
- Book appointments for lawyers and manage lawyers’ calendars.
- Maintains client confidence by keeping client/attorney information confidential.
- Organizing meetings and events.
- Prepares expense and revenue report by documenting and inputting attorney billable time and reimbursable expenses, preparing invoices, and tracking payments.
- Recording daily financial transactions like sales, purchases, payments received, and expenses into accounting software and company database.
- Processing customer invoices, sending reminders, and managing outstanding debts.
- Processing supplier invoices, ensuring timely payments, and managing creditor balances.
- Matching bank statements to recorded transactions to verify accuracy.
- Coordinate and assist company bookkeeper and accountant to lodge BAS, Super, Annual Tax and any relevant accounting compliance.
- Accurately record all financial transactions related to client matters, including fees, disbursements, costs, and trust account deposits/withdrawals.
- Maintain detailed records of all trust funds received and disbursed, adhering to strict trust account regulations.
- Accurately input financial data into accounting software and reconcile bank statements.
- Work closely with lawyers to understand client matters, billing arrangements, and any specific financial requirements.
Skills & Qualifications
