About Us
Shooting Stars is a school-based education engagement program for Aboriginal girls and young women. Founded in 2015, Shooting Stars is the primary initiative of Glass Jar Australia (GJA), a not-for-profit organisation that comes under the wider umbrella of Netball WA.
Now based within 22 schools across Western Australia and South Australia, Shooting Stars reaches over 1,200 girls and young women, building confidence, cultural identity, and positive connections through engagement activities, health and wellbeing sessions and enrichment programs. The team of staff, most of whom are Aboriginal women, walk alongside the Shooting Stars participants throughout their schooling journeys, while offering support, advocacy, and guidance to ensure they are empowered to make informed decisions and drive their own futures.

About the Role
The Executive Assistant (EA) plays a crucial role in supporting the Executive Officer (EO), ensuring the successful execution of key strategic initiatives. This role requires exceptional administrative and operational support to enhance efficiency, streamline processes, and contribute to the long-term growth and success of the Glass Jar Australia (GJA).
Key Responsibilities:
- Provide high-level, confidential support to the EO, including diary management, preparation of meeting documentation, and travel arrangements.
- Prepare outgoing correspondence, reports, presentations, board papers, and other documents on behalf of the EO, ensuring brand consistency.
- Collaborate with leadership, staff, and stakeholders to align business operations with GJA’s strategic vision.
- Assist in developing and managing budgets, financial resources, and general assets, ensuring cost-effective solutions.
- Manage the Shooting Stars ChildSafe inbox, verifying clearances and maintaining the relevant registers
- Oversee travel accounts, approvals, and budget tracking.
- Support and manage the Business Support Officer (BSO) and Administration Officer (AO).
- Oversee day-to-day administration to ensure efficient internal workflow.
- Organise and coordinate executive, leadership, and stakeholder meetings, events, and functions.
- Prepare agendas, briefs, and meeting minutes, ensuring timely distribution of actions and minutes.
- Assist with planning and executing Shooting Stars events, including workshops, fundraisers, and staff forums.
- Build strong relationships with internal and external stakeholders to support the EO.
- Represent Shooting Stars at functions and events, sharing the organisation’s mission and values.
Other Duties:
- Undertake special projects as required.
- Improve systems, processes, and internal reporting to enhance productivity.
- Role model Shooting Stars values and engagement strategies to staff.
- Perform any additional duties aligned with the role and as directed by the EO.
Qualifications and Criteria:

- Demonstrated experience managing administrative, financial, and operational matters.
- Exceptional organisational, time management, and leadership skills.
- Strong communication and interpersonal skills to engage with diverse stakeholders.
- High attention to detail and accuracy.
- Analytical, research, and reporting skills.
- Initiative, flexibility, and self-management skills.
- Proven ability to maintain confidentiality and exercise discretion.
- Willingness to work flexible hours, including weekends when required.
- A valid WA ‘C’ class driver’s license.
- Current Working with Children Check and National Police Clearance.
Desirable Criteria:
- Tertiary qualifications in Business, Finance, or a related field.
- Experience working with Aboriginal communities and organisations.
- Minimum three years of experience in an executive support role or similar position.
