About the role
The Team Administrator, Insurance & Claims provides essential administrative support to the Trustee Reviews team, ensuring smooth operations to help the team meet key performance objectives. Reporting to the Manager, Claims Trustee Review you will prepare claims files, assist with work allocation and will ensure confidentiality and security of claims related information. We are seeking an experienced Team Administrator with strong organisational skills and attention to detail with the ability to manage multiple tasks in a fast-paced environment.
Key Accountabilities
  • Provide general day-to day administrative support to the Trustee Review team including document management, data entry and record keeping.
  • Recording and preparing of claim files with document uploads for review and assessment.
  • Assist the Seniors to allocate daily work based on capacity and priority.
  • Maintaining multiple team mailboxes and Managed File Transfer (MFT) folders.
  • Managing daily postal mails- collecting, scanning and allocating mail to various teams.
  • Preparing and formatting meeting agendas and minutes.
  • Assisting with the scheduling and co-ordination of meetings as and when required.
  • Assisting the team with data entry in team registers and tracking claim related documents ensuring timely updates.
  • Creating and maintaining accurate records of claims documentation to ensure compliance.
  • Support the Trustee Review Specialist in organising claim files and retrieving necessary information.
  • Assisting the team in printing, collating, scanning, filing and posting correspondence to members and beneficiaries as directed.
  • Liaise with internal and external stakeholders as required to obtain the required claim related information.
  • Ensuring the confidentiality and security of all claims-related information.

  • Experience in administrative role, preferably in a claims or insurance environment.
  • Strong administrative and organizational skills with attention to detail.
  • Proactive and solution oriented.
  • Ability to work both independently and as part of the team.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to manage multiple tasks, prioritize effectively and meet day to day deadlines.
  • Strong communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Team player with a professional and customer-focused attitude.
  • Adaptability to changing priorities and deadlines.
