The role:
Reporting to the State Manager, you will be responsible for providing a range of administrative services to support the operation of the Advisory business. The role is also responsible for providing administrative assistance to the Advisory Staff and the Administration Hub, as required, to aid the delivery of projects to clients.
Duties included but are not limited to:
- Assisting the Project Managers with the preparation of cash flow forecasts
- Liaising with Project Managers to extract job prospect numbers, input the data into the Group CRM system, and submit project financial forms to the Finance Department
- Managing communications with internal and external personnel; ensuring their needs are met
- Assisting in the development of efficiency initiatives within the Engineering and Advisory teams
- Managing Induction and Advisory processes for new employees
- Providing secretarial and administrative services to the Advisory, Engineering Teams and senior management when required
- Assisting in the developing and administering Advisory and Engineering document templates covering project management, technical submissions, engineering reports and specifications
- Involved in the preparation of documents and presentations including technical submissions, client presentations, technical specifications and reports
- Attend meetings as required, including minute-taking and distribution
- Providing research assistance for report investigations
- Liaise with Accounts to manage invoicing and financial forecasting
- Assist with all other administration functions as required o
- Minimum 3 years experience in administration and/or personal assistant experience within a professional services firm
- Advanced knowledge of Microsoft Office Applications (i.e. Word, Excel, Outlook etc); knowledge of Great Plains, Dynamics CRM And SharePoint applications, desirable.

- Strong organisation/admin skills
- General understanding of the Building Services Industry will be highly regarded
