About the role
Mater’s Board and Company Secretary are looking for an Executive Support Officer to join the team. Supporting our Company Secretary, this is a part time (20 hours per week) max term 12-month contract based at our Newstead office.
Salary range: $45.81 - $50.47 per hour plus 11.5% superannuation and access to not-for-profit salary packaging up to $15,900 + access to many staff benefits!
What you’ll be doing
The Executive Support Officer will play a crucial role in providing high-level and confidential support to the Company Secretary, ensuring the efficient working of the Mater Misericordiae Ltd (MML) Board, Board Committees, subsidiary company Boards and Company Secretariat function. Working as part of our dedicated Executive administrative team, you will contribute to maintaining organisational alignment and supporting the strategic goals of the company.
You will achieve this by:
- Acting as an additional point of contact for Directors and Committee members, handling Board administration
- Coordinating Board and Board Committee meetings, including preparing agendas, collating reporting, and following-up actions
- Maintaining Board and Board Committee meeting calendars and work plans
- Delivering high-quality and confidential administrative support to the Company Secretary, Board and Board Committees
About you
You will have:
- Demonstrated knowledge and experience working closely with Boards or Board Committees
- Highly developed organisational skills, including prioritisation and handling multiple deadlines
- Ability to work autonomously with attention to detail and problem-solving skills
- Ability to maintain strict confidentiality
- Flexibility to adapt to varying workloads during peak meeting periods
- Proficiency in facilitation, influencing, and decision-making
- Proven experience in building and maintaining collaborative relationships with internal and external stakeholders
- Excellent written communication skills for drafting correspondence and communications and (where required) minutes
- Advanced skills in Microsoft Office applications and various system applications for effective secretariat and administrative support
