Your Role
An exciting opportunity currently exists within the Catholic Education Office, Rockhampton . Applications are now invited from enthusiastic and motivated persons for the position of Administration Assistant to join the Employee Support Services team. This is a full time permanent position working 38 hours per week to commence as soon as possible. Full on the job training will be provided to the successful applicant to assist them meet the requirements of the role.
The successful applicant will be required to:
- Practice confidentiality in relation to all aspects of the role.
- Respond to enquiries from staff, and address issues in accordance with routines, methods and procedures.
- Maintain established central filing/records systems. This would include: creating and indexing new files and retrieving records.
- Work co−operatively with the ESS Manager and staff ensuring that all employment information is processed in line with stated objectives.
- Prepare letters of appointment for teaching staff and processing of ancillary staff appointments of CEDR.
- Prepare letters of acknowledgement for applications for leave, resignations and other correspondence as required.
- Respond to enquiries regarding employment.
- Develop a sound understanding of effective employment processes.
- Ensure effective communication with Principals, school staff and CEDR personnel on staffing issues.
- Within set guidelines and established processes, complete the set-up of new employees on the CHRIS Payroll System for checking.
- Assist with the compliance of new and existing employees relating to Qld College of Teacher Registration, Working with Children Checks and other mandatory requirements
- Ensure documents are processed and stored in line with CEDR document management system guidelines.
- Assist in the updating of teacher relief details on the Tap for Teacher relief booking system.
- Develop a sound understanding of awards and conditions of employment for all staff.
- Assist with the advertising of employment positions.
- Utilise a sound knowledge and application of office management systems, including Microsoft Office software and a broad range of office administration skills.

Mandatory Requirements
- A current or the ability to obtain a valid Blue Card under the Working with Children (Risk Management and Screening) Act 2000 (WWC Act) and valid Suitability Notice is a requirement of the position.
- Ability to perform the physical requirements of the role in a safe manner, including some travel to schools within the Diocese.
