Job Title: Senior Executive Assistant/Secretary

Short Description
Infosys Consulting seeks a Senior Executive Assistant to join our Sydney office and support the Region Head for AsiaPacific. The role requires a confident and flexible individual who can manage administration, build relationships, and be well-organized.
The Executive Secretary will provide executive assistance to the Region Head along with other Executive officers in planning the commitments and interacting with stakeholders with the objective to efficiently managing day-to-day operations and special organization initiatives with the guidelines, policies and norms of Infosys.
This role will require effective collaboration in a positive working environment with other business-enabling functions such as Human Resources & Facilities.
Responsibilities include:
- Prioritize and schedule meetings/calls to manage the executive’s appointment calendar/schedule
- Manage expense claims and associated processes for the executives
- Manage travel booking, logistics and associated processes for the executives
- Arrange logistics for meetings/calls including conference rooms/teleconference/video conferencing, prepare background material prior to the meeting, plan for travel including tracking Visa expiry dates, and communicate with the event managers for the agenda and expectations from the executive.
- The Executive Secretary will attend to telephone calls including directing messages to appropriate offices where appropriate,
- The Executive Secretary will interact with all external and internal agencies, understand the requirements for Executive Officer/Other Executives, gather information around the agenda and timelines expected and communicate to the executive in order to ensure efficiency and good public relations with the stakeholders.
- Handle the day-to-day planning and organization, stakeholder management
- Provide administrative assistance to maximise the Executive’s efficiency and handle special initiatives at a higher level.
- Relationship management and coordination with the office of senior customers/partners/officials & other Infosys executives
- Ability to work ambiguity and handle changes in plans effectively and smoothly to ensure optimum utilization of time and resources
- Ability to adapt to a fluid environment and work in a high matrix organization.
Skills :
- Senior-level experience working in a similar role managing multiple executives.
- Bachelor’s Degree Required. We will also consider three years of progressive experience in the specialty instead of every year of education
- Knowledge of administrative & clerical procedures and proficiency in language skills.
- Excellent interpersonal and communication skills, attention to detail, flexibility & external networking skills.
- Knowledge of customer management, expenses, travel and administrative processes.
- Knowledge of MS Office.
