About the role
We are currently recruiting for Program / Project Coordinator. This role can be based anywhere within Essential Energy’s operational footprint throughout NSW and will be a fixed term opportunity for12 months with the opportunity l to extend.
Reporting to the Senior Program Manager the Program / Project Coordinator will be responsible for supporting the project/program team and particularly the Program Manager with the provision of program/project governance, reporting, quality assurance, risk and issues management and resource management. The position supports transformation initiatives and ensures that accurate reporting and associated governance processes are provisioned to ensure program delivery aligns with strategic goals.
Key responsibilities:
- Monitor, maintain and review program/project information and ensure trends and potential risks to timelines, outcomes and benefits are identified and escalated
- Prepare consolidated material from program reports for input to presentations for management review
- Coordinate, collate and analyse data, including the identification of exceptions, preparing timely reports for management on status and business readiness for change
- Coordinate and accurately record project and program level activities into business systems to assist with the timely and efficient issue of information and reporting requirements
- Develop and maintain business partnerships with relevant stakeholders to assist in the development, implementation and management of initiatives to ensure delivery of the specific activities within required timeframes
- Use high level communication skills to address customer needs and expectations in line with the organisations policies and procedures
- Coordinate and maintain communication channels such as project mailbox, SharePoint, calendar and schedule events to meet stakeholder needs in line with the project objectives and communication strategy
- Participate in the planning, coordination, and implementation of project and change activities, including working with key stakeholders to identify and assess change impacts
- Coordinate the procurement and contract management requirements of external service providers in line with operational policies and procedures.
- Contribute collaboratively as part of a team to effectively and efficiently deliver project, change and communications outcomes.
About You
You are a highly skilled communicator with a strong ability to interact with a diverse range of people and handle various stakeholder and customer enquiries. Your interpersonal skills are exceptional, allowing you to maintain close relationships with relevant stakeholders and communicate requirements effectively.
You excel in time management and organizational skills, enabling you to meet business targets, perform under pressure, and prioritize a complex and varied workload. You are proficient in computer operations and business systems relevant to the role, such as MS Office, MS Project, and SharePoint.
Your analytical skills are well-developed, allowing you to research, collate, analyse, and present data and trends effectively. You demonstrate innovative thinking and possess strong report writing skills to support project reporting requirements.
In addition to this you will have:
- Demonstrated experience in a similar role, including entry level project or change activities
- Experience in maintaining accurate records in business systems, logistics coordination, procurement, and balancing priorities to meet deadlines
- Knowledge and understanding of relevant policies and procedures including project or change management methodologies and processes
- Demonstrated experience in the preparation and delivery of well organised and structured information including presentations, charts, reports to management levels, and communication collateral.
Required Qualifications
- Certificate IV in Project Management Practice or demonstrated capability through past employment experience and/or relevant qualifications.
