Location: Parramatta with flexible hybrid working arrangements
Employment type: Talent Pool Creation - A talent pool will be created for future ongoing and temporary roles within the Metropolitan operations support office and is valid for a period of up to 18 months.
Salary: $82,193 to $90,001 plus super and leave loading (Clerk Grade 3/4)
Your role
An exciting opportunity for a dedicated and proactive Administration Officer to join our Operations Support team for Sydney Metro Community Corrections.
This role will provide high-level procurement, business operation and administrative support within the Operation Support Office. This role will also respond to high volume requests from stakeholders implementing effective and efficient financial and administrative work practices to further enhance and deliver the business operations.
What you’ll do
Our role of Operations Support Office is to provide extensive support and governance, deliver efficient business operation support and quality administrative services to 25 business units in Community Corrections across Sydney Metropolitan area.
As a highly organised Administration Officer, you will be responsible for but not limited to the following:
• Assist front offices with procurement and payment process including managing vendor/customer data, raising purchase orders and processing invoices in MyWorkZone, making payment through Purchasing Card and submitting in ExpenseMe Pro.
• Place orders for centralised budgeted items i.e. oral drug testing wipes and PPE etc.
• Assist with fleet management process including validating monthly motor vehicle running sheets, assisting vehicle application and replacement, and data entry in SG Fleet system.
• Provide customer services to internal customers and key stakeholders including addressing business inquiries, providing advice on standard procedures and guidance.
• Provide travel assistance for staff and clients including flight and accommodation booking in FCM portal and travel claims.
• Build periodic centralised Community Service Work (CSW) roster for casual employees.
• Assist front offices with maintaining roster schedules including changing roster.
• Assist casual employees with fortnightly timesheet submission including validating data and forwarding to the next approvers.
• Assist Community Corrections Program Coordinator with work order amendment in Smarty Grants, relevant procurement and payment process to external facilitators.
• Maintain effective business records in EDRMS recording system.
• Assist with monthly management meetings and district events including room booking, meeting minutes.
• Provide administrative support to the Directors.

• Proven experience as an Admin Officer, Office Administrator, Business Support Officer or similar role in a complex and fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and multiple operating systems and platforms.
