What You’ll Be Doing
As our Scheduler & Office Administrator, you’ll assist the Office Manager and ensure smooth daily operations. Your role will include:
~ Being the first point of contact for major clients and customers.
~Answering inbound phone calls
~ Scheduling technicians and dispatching jobs efficiently.
~ Making outbound calls to follow up on quotes, job statuses, and client requests.
~ Communicating clearly with customers about job timelines over the phone and via email
~ Keeping job records accurate and up to date.
~ Managing and closing outstanding jobs within appropriate timeframes.
~ Ordering job-specific materials and ensuring supplies are available.
~ Providing office support to the team when needed.
~ Participating in team meetings and contributing ideas.
What We’re Looking For
We need someone who is:
* A strong multi-tasker – You can handle multiple priorities and stay cool under pressure.
* Experienced in scheduling & administration – Preferably in the electrical or trades industry.
* Organized & detail-oriented – Accuracy is key!
* A clear communicator – Professional and friendly with customers and team members.
* A problem-solver – You take initiative and think ahead.
* Reliable & punctual – We need someone who shows up and delivers every day.
* Tech-savvy – Comfortable using job management systems like Servicem8, Simpro, or Aroflow.
* A local – You must live within 25km of our Mansfield office.
Must-Have Skills (Non-Negotiable!)
We take these seriously – if you can’t confidently say YES to all five, this isn’t the role for you:
- Typing speed of at least 45 WPM + solid computer skills (Microsoft Suite expertise is a must).
- Experience with Servicem8, Simpro, Aroflow, or similar job management systems.
- Ability to handle high-volume inbound calls professionally.
- Excellent knowledge of Brisbane suburbs for accurate scheduling.
- You must live within 25km of our Mansfield office.
- You will be tested on these skills during the recruitment process!
