THE OPPORTUNITY
We are looking to recruit high quality people to strengthen the management of the business and to support our future growth objectives.
This position is part of the business function that provides an interface between the company and its customers and is a critical component of delivering superior service levels.
Reporting to the Operations Manager this position provides administrative support for day-to-day operational requirements. The ideal candidate will be a highly organised, customer focused and a disciplined professional with the ability to multi-task with efficiency.
Your duties will include:
- Responsible for keeping operations management system up to date with relevant information related to customer contact details, job enquiries, quotes, job booking and personnel inductions
- Ensure customer enquiries are dealt with promptly and professionally
- Preparing documentation required for site and upload to client portals e.g. SWMS, inductions, presentations etc
- Ensuring all operators are inducted prior to attending site and maintaining accurate records
- Organising major project onboarding & mobilisation as required
- Keep job booking information updated with journal notes for invoicing purposes
- Organising equipment hire as required
- Ensuring PPE is organised for distribution to operators
- Schedule motor fleet services and repairs
- Cover for the Operations Manager when they are out of the office
- General administrative tasks as required
SKILLS & EXPERIENCE
We are looking to recruit a motivated and disciplined individual to join a busy team focused on delivering exceptional service levels. You will need to be upbeat, have a positive attitude and attention to detail.
The ideal candidate will have the following attributes:
• Minimum 3 years experience in a similar role
• Excellent verbal and written communication skills
• Good organisation skills and attention to detail
• Clear telephone manner with strong customer service skills
• Positive attitude and prepared to the go “the extra mile”
• Approach to get things done properly and right first time
• Proactive with a continual improvement mentality
• Able to prioritise workload and meet deadlines
• Be resilient and able to deliver results when under pressure
• Take pride in your work and be results focussed
• Think for yourself and a good problem solver
• Be reliable and punctual
• Ability to work as an effective team member
• Proficient in Microsoft Office applications including Excel
• Experience of the building & construction industry beneficial
