CYC Phillip Island Adventure Resort is an expansive facility situated on 80 acres of landscaped grounds in the heart of Cowes. It offers accommodation for over 600 guests, featuring air-conditioned guest rooms with ensuites, and a variety of onsite activities including giant swings, swimming pools, high and low ropes courses, canoeing, raft making, sand volleyball, indoor rock climbing, archery and both single and quad flying foxes!!
The resort is a purpose-built complex catering to large bookings and is a popular destination for educational groups, community and church groups, school camps, corporate retreats, and holiday camps.
About the Role
As Bookings Administrator, you will be responsible for handling all booking inquiries, processing reservations, and providing excellent customer service to our guest group coordinators. You will work closely with the operations team to ensure smooth check-ins, assist with administrative tasks, and maintain accurate records of all bookings. This role is perfect for someone who is organised, has strong communication skills, and enjoys working in a fast-paced environment.
Key Responsibilities:
- Manage and process accommodation bookings for guest groups via phone, email, and our online system.
- Provide exceptional customer service, responding to group inquiries and assisting with special requests.
- Maintain accurate booking records and ensure that all details are correctly entered into the system.
- Coordinate with other departments to ensure seamless guest experiences (e.g., housekeeping, activity scheduling, property).
- Handle booking changes, cancellations, and refunds in accordance with resort policies.
- Assist with administrative tasks, including reporting, invoicing, and maintaining up-to-date guest information.
- Promote resort offerings, including special packages and activities, to maximise bookings.
About You
Personal attributes:
- Previous experience in a similar administrative or customer service role (experience in the tourism or hospitality industry is a plus).
- Strong computer skills; proficiency with booking systems is an advantage.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and ability to manage multiple tasks effectively.
- Ability to work both independently and as part of a team.
- A friendly and approachable personality with a focus on delivering outstanding customer service.
Essential requirements:
- A Victorian employee Working With Children Check (or willingness to obtain)
- Valid rights to work in Australia
