We are seeking a passionate and experienced Rostering Manager to join our dynamic team. As the Rostering Manager, you will play a pivotal role in ensuring that our staff schedules are managed efficiently, effectively, and with the utmost accuracy, enhancing the experience of our clients and supporting our mission of holistic health.
Key Responsibilities
Operational Tasks
• Lead and oversee the end-to-end rostering process for Community Services to ensure appropriate staffing levels.
• Develop and maintain efficient rostering systems that align with participant needs, service agreements, and award conditions.
• Proactively manage gaps, cancellations, and changes, ensuring minimal disruption to services.
• Collaborate with the Service Delivery Managers (SDMs), Service Delivery Manager Assistants (SDMAs), and the SDMA Team Leader to align participant service windows with Support Professional availability.
• Monitor roster efficiency to reduce over-reliance on overtime.
• Coordinate and schedule Support Professionals for mandatory training and supervisions, ensuring compliance with professional development requirements.
• Conduct workforce planning and projections, ensuring future workforce availability meets service demand.
• Generate weekly and monthly reports on rostering performance, including fill rates, cancellations, workforce utilisation, and cost analysis.
• Work closely with the SDMA Team Leader to ensure seamless communication and coordination between all teams.
Compliance and Documentation
• Utilise the CMS system to ensure all shifts comply with Award, Fair Work & organisational requirements, including broken shifts, overtime, and maximum shift lengths.
• Leverage automated CMS tracking for employee availability, preferences, and leave balances to support informed decision-making.
• Ensure shifts are allocated to appropriately skilled and trained staff in line with participant requirements.
• Work closely with HR to ensure an available workforce that meets service demands.
• Support the implementation of automated rostering systems and identify process improvements for greater efficiency.
• Provide workforce utilisation reports to assess staffing efficiency and support business decisions.
Required Qualifications/Skills Required
Essential:
• Demonstrated experience in rostering, workforce coordination, or scheduling within the NDIS, aged care, disability, or community services sectors.
• Strong knowledge of the SCHADS Award – Home Care Stream, NDIS compliance requirements, and Fair Work legislation.
• Experience using rostering and workforce management software
• Ability to manage complex scheduling, adapt to last-minute changes, and balance staff availability with participant service requirements.
• Proven ability to problem-solve rostering challenges in a high-demand environment.
• High-level attention to detail, organisational skills, and time management.
• Strong written and verbal communication skills with the ability to engage effectively with a variety of stakeholders.
• Experience in workforce planning and projections, ensuring adequate staffing levels for service continuity.
• Ability to analyse rostering data, workforce utilisation trends, and compliance metrics to inform decision-making.
• Experience coordinating training and supervision schedules for staff compliance.
Desirable
• Experience in leading a rostering or workforce management team.
• Background in disability services, aged care, or community health.
• Familiarity with Power BI, Excel, or other data analysis tools for rostering and workforce reporting.
• Ability to implement process improvements and automation in rostering workflows
