Chatham, Taree

Permanent/Part-time

Monday, Tuesday, and Thursdays.

8am - 4pm

22.5 hours per week.

Award: Health Professionals and Support Services Award MA000027 Level 7

Hourly Rate: $30.13/hour


Front Desk Champion Wanted: Be the Heart of Our Fun, Family-Focused Therapy Practice

We require a permanent part-time administrator to join our Allied Health Team and education team in our Taree office to support the growing early intervention and occupational therapy team. We pride ourselves on working closely and efficiently as a team and on driving the success of supporting the children and families we work with, and we are looking for a super organised team player to join us!

This is an extremely exciting opportunity for someone who loves to take responsibility, connect with our community, and support our therapists and families by being a friendly face and voice to our families and referrers by taking charge of the day-to-day administrative running of our allied health practice.

ABOUT THIS EXCITING ROLE:

In this role, you will be

  • Providing administrative support to the team of allied health professional and the practice owner/director
  • Ensuring smooth operation of the front desk
  • Ensuring the timely, accurate, and efficient processing of all accounts and banking transactions

Your main duties and responsibilities are:

Reception

  1. Politely answering the phone, managing appointment bookings, and ensuring client profiles are updated as needed.
  2. Updating diary entries for all bookings, managing cancellations, and ensuring all therapists are pre-booked two weeks in advance.
  3. Maintaining cleanliness and tidiness of the clinic.

Administration

  1. Setting up new client files, ensuring confidentiality, scanning/uploading paperwork, completing auditing of client files, and addressing any outstanding items.
  2. Checking messages and emails.

Finance

  1. Processing client payments, Medicare rebates, bulk-bill payments, and cancellation fees daily and managing invoices.
  2. Compiling, updating, and sending off third-party payments and assisting in following up on outstanding debtors.

Customer Satisfaction

  1. Acting as the Director of First Impressions, ensuring clients feel welcome.

Other Duties

  1. Fulfilling any other duties as required, ensuring flexibility and adaptability in the role.


MORE ABOUT YOU

Working as anindependent worker, you’ll thrive in an environment where you can take charge and work autonomously while keeping an eye on the big picture and managing the finer details.

  • You have administration experience (at least 2 years of demonstrated experience) working in an admin role or allied health reception role.
  • You have an amazing ability to stay focused amidst interruptions and maintain a calm demeanour.
  • You have an understanding of various funding streams, which is beneficial (e.g., NDIS, GP care plans), allowing you to navigate and optimise resources efficiently.
  • You’ll be the champion of exceptional customer service across all channels—whether written, over the phone, or face-to-face. Your commitment to customer satisfaction sets you apart.
  • Your meticulous attention to detail and strong written communication skills ensure accuracy and professionalism in all internal and external communications.
  • Your experience means you’ll quickly master the art of prioritising tasks, discerning what is important, and managing others' expectations with ease.

Desirable

  • Added bonus if you have experience with practice technology such as medical or allied health practice management systems. We currently use Splose, Gsuite, Xero, and ClickUp and while we don’t expect you to know them all, experience in something similar is an advantage and the confidence and ability to learn them quickly is essential
