About the role
We are currently recruiting for a Design Support Officer to join our Design team. This role can be based anywhere within Essential Energy’s operational footprint.
The Design Support Officer is accountable for providing administrative support services to the Design Services Team
Key Responsibilities:
- Carry out a range of procurement activities for the Design Services Team including the creation, maintenance and receipt of purchase orders.
- Provide support and advice for the Design Services Team in the areas of requisitions, purchase orders, receipting, supplier registrations and agreements
- Provide support, advice, and assistance to suppliers in the use of the Oracle Supplier Portal.
- Prepare, send and collate Requests for Firm Quotes (RFQs) using the ERP Negotiations Portal.
- Liaise with suppliers to communicate any updates to the RFQ, respond to questions and advise them of successful/unsuccessful outcomes.
- Assist with the creation and maintenance of projects in business systems such as WACS, Copperleaf and ERP.
- Create, attach and maintain project documentation in WACS, Copperleaf and other business systems.
- Undertake Aboriginal Heritage Information Management System (AHIMS) database searches and Threatened Species searches for specific projects.
- Manage the asset label database including creating new labels, ordering labels from suppliers, sending labels to internal employees and external ASP’s.
- Monitor the Design Support Team inbox and action all requests within required timeframes.
About You
To be successful in this position, you will have demonstrated experience in a similar administrative capacity. Your ability to provide efficient administrative services and manage records is essential. You will thrive in an administrative environment, consistently meeting deadlines while maintaining strict confidentiality.
Required Qualifications/Skills
- Certificate III in Business or demonstrated capability through past employment experience and/or relevant qualifications
- Provision of administrative services and record management functions in a large organisation
- Strong communication and customer service skills and experience to liaise and interact with a diverse range of customers, stakeholders and sponsors in an energy distribution environment
- Strong skills in computer operations and business systems relevant to the role including Microsoft Office products, WASP, PEOPLESOFT and Design Project enterprise systems
