Who is STAR Community Services?
We are an award-winning not-for-profit organisation providing a range of aged care services including Home Care Packages, NDIS and disability support services since 1996. STAR supports the elderly and people with disability to live independently, engage with the wider community and achieve their goals. With the generous support of local community volunteers, we offer a wide range aged care and disability support services to ensure that the vulnerable members of our community can access affordable and reliable services such as Home Care Packages, transport, in-home help, social activities, companionship and more. We regularly organise programs and events to help reduce the growing problem of social isolation among the elderly and people with disabilities. We are currently servicing Redlands, Ipswich, Logan, Gold Coast & Toowoomba areas.
We are looking for a Reception and Administration Assistant to be the first point of contact for visitors and clients, while also supporting day-to-day office functions. This role is integral to the smooth operation of our office, offering a variety of administrative, reception, and office management duties.

Key Responsibilities:
- Reception & Administrative Support: Greet clients and visitors, answer calls, take messages, manage emails, and direct inquiries. Provide administrative support including updating client files, maintaining a tidy reception area, and training volunteers as needed.
- Banking & Financial Administration: Handle daily banking tasks, maintain reconciliation sheets and driver manifest files, and ensure accurate and timely financial record-keeping.
- Reporting & Verifications: Ensure timely and accurate entry and verification of social outputs to support end-of-month reporting tasks.
- Office & Supply Management: Manage office supplies and PPE stock, ensure kitchen supplies are replenished, and maintain office and kitchen cleanliness.
- Training Room & Meeting Preparation: Organize and prepare rooms for meetings and events, including coordinating catering and ensuring everything is set up for success.
- Mail & Correspondence: Handle incoming and outgoing mail, use franking and folding machines, and ensure efficient mail distribution.
- Archiving & Record Keeping: Maintain an organized archive room, ensuring proper destruction of documents in line with company policies.
- General Office Maintenance: Ensure all office spaces, including reception, common areas, and storage rooms, are clean, organized, and functional.
What will you bring to the role?
- Minimum 2 years of experience in a reception role.
- Experience in Community Service Organisations preferred.
- Strong organizational skills with the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Proficiency in using office equipment such as photocopiers, folding/franking machines, and computers.
- Ability to maintain professionalism and provide excellent customer service.
- Ability to work both independently and as part of a team.
- Flexible and willing to take on additional duties as required.
