An exciting opportunity has become available for an experienced and professional Medical Receptionist/Secretary to join a dynamic ENT Surgical Specialist Practice. This full-time, permanent role (38 hours per week, Monday to Friday) will provide essential support to two ENT Surgeons. Working closely with the Practice Manager, the successful candidate will play a key role in a supportive team environment, handling a variety of administrative tasks and patient clinic responsibilities.

Key duties and responsibilities will include (but not limited to):

  • Handling all incoming and outgoing communications, including answering phone calls, responding to emails promptly, and assisting patients with general enquiries

  • Welcoming patients to the practice, managing and coordinating patient appointments, cancellations, and rescheduling appointments using Genie software.

  • Preparing and running patient clinics including the billing and receipting of all patient consultations

  • Assisting the Practice Manager with theatre quotations, theatre bookings and the preparation of theatre lists

  • Medical typing of general letters back to GPs, surgical reports and on occasions some medicolegal correspondence

  • Providing general administrative support to the Surgeons and collaborating closely with the Practice Manager to ensure the smooth day to day running of a busy ENT practice.

In addition to the key duties and responsibilities, Candidates must be able to demonstrate:

  • At least 1-3 years of experience working in a similar specialist practice environment, ideally any prior experience working within a surgical specialist practice would be viewed favourably.

  • Previous experience in medical typing (this is not essential but would be considered advantageous)

  • Strong understanding of Medicare, DVA, WorkCover and Private Health Fund billing processes.

  • A team player who can also work independently and contribute effectively to a small team setting.

  • Excellent time management and organisational skills.

  • Proficiency in using Genie software for practice and patient management.

  • Clear, concise, and professional communication skills.

  • Reliable, well-presented, confident, courteous, and able to maintain composure in challenging situations.

Remuneration:

A competitive hourly rate will be negotiated for a suitably experienced candidate. Located in Spring Hill, this practice is conveniently accessible via all major public transport routes.
