About the Role
Reporting directly to the Director of People & Culture, the Executive Assistant plays a critical role in ensuring the ongoing success of the People & Culture Directorate by providing high-level executive administrative support. This role contributes to the efficient and effective operation of the Directorate and the achievement of organisational strategic objectives.
Key Role Accountabilities:Align one’s workplace behaviour in accordance with the WMQ Model of Care, the Wesley Charter and Wesley Mission Queensland’s Vision, Mission and Values.Manage the administration of the office ensuring efficient and effective review and prioritisation of correspondence, queries and workloads, act where necessary, establish follow-up mechanisms and exercise sound judgement to ensure the Director is briefed about urgent matters.Produce accurate and timely business correspondence, reports and other documentation as requested by the Director.Assist in the production of ELT Board and sub-Committee papers as needed.Develop and maintain strong relationships and network with internal and external stakeholders.Develop and maintain a strong working knowledge of the activities of WMQ and the work of the Director of People & Culture.Effective and efficient diary management, ensuring that meeting details and requirements are clearly articulated and scheduled to ensure priorities and deadlines are met.Coordinate meetings, events and functions including catering, venue booking and travel arrangements as required.Proactive and collaborative participation in the Executive Assistant Community of Practice.Provide support to other Directors during times of planned and unplanned absences of other Executive Assistants, in consultation with and at the direction of the Director of People & Culture.Work collaboratively with the People & Culture team to provide them with assistance where appropriate.Facilitate the review process and ensure maintenance obligations are met for the document library related to P&C documents.
About YouAdvanced communication skills, both written and verbal with the ability to clearly articulate key messages and influence using written and verbal presentation.Strong interpersonal skills with the ability to build and maintain effective relationships at all organisational and stakeholder levels.Strong organisational abilities, including demonstrated initiative, effective time management and ability to prioritise in a busy office environment.Demonstrated experience providing strategic executive support to Senior Executives.Demonstrated ability to exercise sound judgement and discretion and deal effectively with confidential and sensitive issues.Demonstrated experience taking and compiling accurate and professional minutes.Demonstrated strong technical competence in the Microsoft Office suite of applicationsDemonstrated ability to foster and influence a continuous quality improvement environment.
Desirable: Experience in, or exposure to, a large organisation with complex structures and systems preferably in the Not-For-Profit sector.
