About the Role

Reporting to the Client Services Manager , this role offers a dynamic and ever-evolving workload, providing exposure to multiple areas of the business. No two days will be the same, as you'll be involved in a wide range of tasks, including Administration, Project Coordination, Customer Service, Client Consults and Business Development. You'll collaborate with various teams and have the opportunity to take on new challenges, develop valuable skills, and contribute to the company's success.

We are looking for either an experienced Client Services Coordinator/Prestart Consultant or a candidate that has equivalent relevant skills who is ready to take their skills to the next level.

Meet Our Client Services Manager

In 2023, we welcomed Pauline Henderson as our Client Services Manager. With a background as a qualified Interior Designer and 15 years of experience in residential building, from first homes to luxury custom builds, Pauline brings a wealth of industry knowledge. She oversees new home Administration, Client communication, product, and colour selections, and ensures continuous team training and support to maintain our high standards of customer satisfaction.

Our Technology

To optimize efficiency, we use Truth Engine , an industry-leading operational platform that empowers our administration team to execute tasks with precision. Training on this system will be provided if needed.

Key Responsibilities

This role will be tailored to suit the successful applicant's experience and abilities. We encourage you to share what you can offer, and we will adjust the role to align with your skills and expertise. A summary of the responsibilities is outlined below:

  • Managing multiple projects and ensuring deadlines are met.
  • Handling client inquiries and providing exceptional support.
  • Managing office administration, including answering and directing incoming calls.
  • Assisting with process improvements and driving efficiency initiatives.
  • Setting up and administering the online client portal.
  • Collaborating across departments to streamline operations.
  • Facilitating prestart meetings, colour consultations, and style briefs (depending on previous experience).
  • Maintaining and updating client records in the CRM system (Truth Engine).
  • Submitting and processing applications for building licenses, water meters, and onsite services.
  • Liaising with developers for necessary approvals.
  • Preparing site documentation, managing variations, and updating building contract changes.
  • Communicating with Supervisors, Suppliers, and Contractors throughout all stages.
  • Taking on additional responsibilities and tasks as required as the role evolves.

About You

To be considered for this role, the minimum requirements are the following.

  • Previous experience in Residential Construction, Prestart or Client Liaison is essential.
  • Strong attention to detail and accuracy in all tasks.
  • Ability to read and interpret contracts, addenda, plans, and specifications is essential.
  • Excellent communication skills, with a focus on delivering outstanding customer service.
  • Ability to work both independently and collaboratively in a fast-paced, client-focused environment.
  • A proactive, can-do attitude with a willingness to learn and take direction.
  • Strong time management and prioritization skills.
  • Adaptability and flexibility, thriving under pressure and shifting priorities.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and online systems. Experience with CRM systems like Truth Engine is an advantage.
  • A willingness to assist with general office tasks (including cleaning and tidying as needed).
  • Exceptional written and verbal communication skills, with the ability to produce professional, clear correspondence.
  • A well-presented and punctual demeanor.
