The Opportunity:

Urbis has an exciting opportunity for an Office & Client Services Coordinator to be a part of our mission to create an exceptional office environment in Perth!

Join us in a pivotal role where you'll collaborate with the Office Services Manager to provide outstanding client-centric service to clients, employees, and suppliers. Your keen attention to detail, organisational prowess, and time management skills will ensure seamless daily operations. Leverage your expertise to enhance the office experience, meeting client and staff needs, and delivering top-tier events.

You will:

  • Ensure Urbis and Cistri (Urbis Group) procedures and systems are implemented to facilitate effective local office operations.
  • Partner with the Office Services Manager in respect of the day-to-day operations of the office and where appropriate act as their representative.
  • Provide nationally consistent and exceptional concierge experience to all internal and external stakeholders.
  • Manage and coordinate all front and back-of-house facilities, meeting rooms (including bookings), kitchen and break out areas to ensure the highest standards of customer service are provided to all employees, visitors and external providers.
  • Manage and regularly monitor the National Call Centre and voicemail system on a daily basis during business hours, transferring calls, voicemail messages and emails to the relevant staff member or business unit in a timely manner.
  • Maintain stock levels of stationery, printing and kitchen supplies and order when required.
  • Prepare new employee welcome packs to facilitate a best-in-class onboarding experience for all new hires and recommencements.
  • Arrange and facilitate air travel, hotel accommodation and car hire requests via the travel booking system in line with the Urbis Travel policy.
  • Plan and deliver client events, ensuring a seamless and memorable experience.

About you:

  • RSA / Food Safety Training and/or certification strongly preferred
  • Certificate/s in Hospitality
  • 3-5 years' experience in a similar role preferred
  • High School Completion Certificate - Senior Certificate or equivalent preferred
  • Prior experience in airline, hospitality, hotelier concierge, corporate office or co-working space
  • Competent in the use of Microsoft Office suite (particularly Teams, Outlook, Word and Excel)
  • Events experience where you have planned and delivered client events of up to 70 participants would be beneficial
