ABOUT THE ROLE:

Providing exceptional scheduling services to the Volunteering Gold Coast Transport Services team (VGCTS), supporting the provision of efficient and effective transport services for the transport disadvantaged of the Gold Coast.

The day to day of this role includes scheduling bookings, maintaining best practices of Transport Services Scheduling standard and working closely with VGCTS Team and external stakeholders.

Specifically, the role will involve:

  • Using the Trips database to assign eligible customers to vehicles as required, determining the most efficient and effective vehicle routes and timelines

  • Organising schedules in compliance with regulatory and contract requirements, maximising the safety of customers and drivers

  • Preparation of run sheets and distribution to drivers prior to shift commencement.

  • Carrying out early shift scheduling duties, processing overnight changes, allocation of vehicle and keys, hard copy run sheets.

  • Advising on changes to traffic or weather conditions which may affect safety or timeliness of service.

  • Attending to driver enquiries through mobile communications system, managing changes, including “real time” in consultation with the Scheduler of the day or the Manager i.e., cancellations, additional journeys

  • Optimising unplanned availability and where possible organise late change requests by customers at time of phone call.

  • Gathering general feedback from the drivers and customers on how services and runs may be improved.

  • Answer the overflow of phone calls, processing transport booking requests and general enquiries for all VGC Transport Services

  • Provide feedback to the Team Leader on any client changes that may affect the customers’ eligibility to travel or capacity to use the service.

To be successful in this role:

Background and qualifications in community services and/or working with seniors or the disability sector, while not essential, would be well regarded:

  • Experience in the Microsoft suite of programs with demonstrated proficiency in Word and Excel.

  • Have a solid understanding of the Gold Coast geography and Google Maps

  • Analytical thinking and enjoy the challenge of scheduling, solutions-driven approach

  • Demonstrated understanding of and ability to carry out moderate-level clerical and administration duties.

  • Excellent interpersonal and communication skills - both verbal and written

  • Commitment to confidentiality in all dealings associated with VGC and its stakeholders.

  • Ability to work to a timeframe under pressure.

  • Well-developed time management and organisational skills.

  • High level of dependability and punctuality.

  • Able to work in a team and/or individually with minimal supervision

  • Enjoy working with the public and helping people.

  • Ability to adopt a respectful and supportive approach when engaging in communication where significant health and language difficulties may be present.

The role is permanent part-time, 30 hours, 4 days per week
