JCI CARE Support services is seeking an outstanding and experienced NDIS administrative officer who is highly organised and proactive with experience in general office management to join our new office at Chermside. The successful candidate will be responsible for managing administrative tasks, ensuring smooth office operations, and providing exceptional support to our clients and team.

Key Responsibilities
- General administration and reception activities
- Provide progress reports to NDIA on progress toward goals and outcomes
- A strong ability to manage the competing demands of a busy environment, prioritise tasks and work to deadlines.
- Monitor shift incident reporting and progress notes ensuring their adherence to NDIS standards.
- Conduct thorough investigations into incidents involving participants or support workers, ensuring compliance with NDIS regulations and guidelines.
- Demonstrated ability to be customer focused and results driven.
- A positive attitude towards people with disabilities and the willingness to work within JCI CARE’S Values and Code of Conduct in order to meet customer needs.
- Implement an effective onboarding process for new support workers, including training, and orientation and ensure documents are compliant.
- Coordinate support worker rostering to ensure efficient allocation of resources and optimal participant outcomes.
- Organize and manage all Participants and Staff documents in Microsoft One-Drive and MS share point and others.
- Experience using Shift Care CRM for Rostering and Record Management.
- Facilitate the onboarding process for new participants, developing personalized support plans in collaboration with stakeholders.
- Conduct regular check-ins with participants to assess their satisfaction, address concerns, and update support plans as needed.
- Manage the end-to-end NDIS client onboarding process, including documentation, communication, and follow-up.
- Provide administrative support to the team, including scheduling appointments, managing calendars, and coordinating meetings.
- Maintain accurate and up-to-date client records and files.
- Handle general office management tasks, such as ordering supplies, managing office equipment, and maintaining a clean and organised workspace.
- Respond to client inquiries and provide information about services and support options.
- Uphold and promote JCICARE Support Services values and culture, fostering a workplace environment characterised by teamwork, respect, and inclusivity.
- Lead by example and encourage staff adherence to organizational values and standards of conduct.
- Coordinate and assist with events, workshops, and training sessions.
- Support the team with various administrative tasks as needed
- Provide excellent customer service when interacting with visitors and callers.
- Answer and direct phone calls and emails to appropriate staff.
- Handle incoming and outgoing correspondence.
- Manage and organise departmental documents, files, and records.
- Schedule and coordinate meetings, conferences, and appointments.
- Data Entry and Record Keeping:
- Enter data into relevant databases and maintain accurate records.
- Act as a liaison between the department and internal/external stakeholders.
- Coordinate office activities and operations to secure efficiency and compliance to company policies.
- Happy to Participate in an on-call rotation to provide 24/7 availability for emergencies or urgent matters, responding promptly to after-hours calls and incidents when required.
- Support implementation of strategies to promote our services and attract new participants to our programs.
- Collaborate with marketing and outreach teams to create targeted campaigns and initiatives aimed at increasing participant sign-ups.
Qualifications:
- Proven experience in an administrative role
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent communication and interpersonal skills.
- Strong organisational and time management abilities.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Proactive and able to manage multiple tasks efficiently.
