We currently have a fantastic opportunity for a Used Cars Administration Assistant to work within our Administration team.

Position Overview:

We are currently seeking a dedicated and dynamic individual to join our team as a Used Cars Administration Assistant will work closely with used sales and used service teams to ensure our constantly moving stock is accurate, organised, ready for sale and once sold processed accurately in the system. The administration assistant will offer administrative support for used cars providing a professional, efficient and effective service while also working closely with the administration team to produce monthly results.

Key Responsibilities:

  • Manage the Stock Process – Track, organize, and process incoming and outgoing used vehicles.
  • Registrations including registrations, transfers, renewals and replacing/cancelling plates.
  • Coordinate with Suppliers & Buyers – Handle vehicle invoicing, wholesale trades, and paperwork.
  • Booking car transport
  • Used recon workshop invoicing as well as creation of purchase orders and repair orders.
  • Warranty Claim management and processing.
  • Daily banking including collecting, receipting and reconciling ensuring all money is stored in lockable containers and adhere to cash handling policies.
  • Timesheet management for used recon workshop
  • Review of accounts with Used Car Manager
  • Commission calculations

Requirements:

  • Proven work experience in automotive or as administrative assistant (desirable)
  • Competent computer skills with intermediate competency with Microsoft office suite products
  • Hands-on experience with office equipment (e.g. telephone, fax machines and printers)
  • Ability to multi-task and be well organised
  • Excellent phone and face to face communication skills
  • Be a team player, enthusiastic and reliable
