Description:
Currumbin Clinic is seeking a highly organised and experienced Executive Assistant to provide top-tier administrative support to our CEO and Director of Clinical Services.
As our Executive Assistant, you will provide high-level administrative support, ensuring smooth daily operations for our CEO and Director of Clinical Services. You will manage calendars, coordinate meetings, handle communications, and oversee various projects, all while maintaining confidentiality and professionalism.
Key Responsibilities but not limited to:

Acting as a liaison between the CEO, Director, and internal/external stakeholders.

Managing and organising schedules, calendars, correspondence and travel arrangements for the CEO and DCS.

Providing reminders for upcoming meetings and appointments.
-
Organising and preparing materials and catering for meetings (Agendas, PowerPoint Presentations etc.), including taking minutes and following up on action items.

Organising, booking and coordinating conferences and events (for staff and Doctors).
-
Handling sensitive information with care, discretion and professionalism.
-
Handling all onsite HR matters including drafting and running adverts, coordinating interviews, onboarding new staff, offboarding terminated staff and maintaining accurate HR records of all staff.

Coordinating and attending HR related meetings with staff and Managers to take accurate notes.

Credentialing of new Doctors and re-credentialing of current Doctors through Equifax. Maintaining accurate records of their information at all times.

Handling invoices, receipts, and other financial documents in relation to monthly credit card reconciliation through Concur for CEO and DCS.

Drafting, proofreading, and editing correspondence (memos, announcements etc.) as and when required.

Management of several email inboxes and email distribution lists.

Mandatory Qualifications:
-
Minimum of 5+ years’ experience as a C Suite Executive Assistant.

Tech-savvy, proficient in office software (e.g., Microsoft Office Suite, Canva).

Excellent interpersonal, written and verbal communication skills.
Desirable Qualifications:
-
Experience in healthcare or a clinical setting.
-
Previous experience maintaining doctor credentialing.
-
Degree or Diploma in Office Administration/Business.
-
Diploma in Human Resources.
Vaccination Preventable Disease:
It is a condition of employment for this role for the employee to be, and remain, vaccinated against the following vaccine preventable diseases during their employment:

You must be able to provide serology evidence and a VPD form for the above-mentioned vaccinations and will be asked by the recruiting manager to supply this evidence if you are the preferred candidate for the role. Please note you are not susceptible to the VPD's listed in the role description.
