THE ROLE:
As a Client Service Coordinator , you will provide administrative assistance to our business and advisory team, support our Team Leader to control the workflow, and provide outstanding service to our valued clients. Our ideal candidate will notice the "little details" that need to be carried out and enjoy interacting with clients and the team to assist in upholding the professional standards of Evolution. You must be open-minded in your approach to each day and, most importantly, know how to roll up your sleeves to get the job done. You must take ownership of your role and always look to improve on ways to carry out your responsibilities.
Primary Responsibilities

Client Communication: Maintain regular communication with clients to address their needs and provide updates on their work.

Scheduling and Appointments: Schedule meetings and appointments for clients and accounting professionals, ensuring that deadlines are met.

Document Management: Preparing forms, correspondence and other documents accurately as required in a secure and efficient manner including the use of our cloud-based software.

Client Onboarding and offboarding: Assist in onboarding new clients, ensuring all necessary paperwork and information are collected and processed. If, unfortunately, offboarding a client is necessary ensure this task is carried out with professional and accurate processes.

Billing: Prepare and send invoices to clients, track payments where required.

Follow-Up: Monitor outstanding tasks and follow up with clients or internal teams to ensure timely completion of work and deadlines are met.

Data Entry: Accurately enter financial data into accounting software and databases.

Troubleshooting: Address client issues or concerns promptly, coordinating with accountants and client service partners as needed. Pro-actively managing the little things that keep the unit running smoothly.

Administrative Support: Provide administrative support to the accounting team, including organising meetings, handling correspondence, collating year end and BAS work along with managing lodgement times.

ATO correspondence is collated, reviewed and up to date.

Reporting: Generate reports for the team leader and management as required to assist with the overall efficient management of workflow.

Client Retention: Work to maintain and strengthen client relationships, addressing their needs and identifying opportunities. Through accurate and thoughtful communication and completion of work. Be proactive and question where needed.

Technology and Tools: Utilise and maintain accounting software and tools including the practice management system CCH to a streamline client service and reporting.

Team Collaboration: Collaborate with other team members to provide valuable support, including accountants, financial planners, tax professionals, and operational team members.

Experience using CCH Practice Management, ATOMATE, NowInfinity an advantage;

Knowledge in Xero Tax is highly regarded.
