We are currently seeking a motivated and highly organised Workforce Coordinator , Full-Time, to join our dynamic team. This role is pivotal in coordinating the mobilisation of employees, managing scheduling and travel logistics, and supporting onboarding processes. You will work closely with the Head of Training & Emergency Services to ensure seamless and responsive service delivery for our valued clients.
Key Responsibilities:
- Coordinate travel and accommodation logistics for rostered and ad hoc mobilisation of staff.
- Assist in planning and scheduling personnel for multiple clients across various sites.
- Ensure timely filling of job vacancies to meet client needs.
- Manage onboarding for new contractors, including data entry and compliance checks.
- Maintain and update employee records, training and skills matrices.
- Foster strong relationships with employees and clients through effective communication.
- Liaise professionally with internal and external stakeholders.
- Support the Training Manager with administrative tasks related to personnel and client requirements.
- Monitor and maintain compliance records.
- Provide administrative support including scanning, data entry, and file archiving.
- Identify opportunities for workflow improvements and enhanced service delivery.
- Support WHS initiatives and promote safe working practices at all times.
- Previous experience in workforce coordination, mobilisation, or a similar administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong understanding of scheduling and resource coordination.
- Experience in stakeholder management and client engagement.
- Exceptional organisational and time management abilities.
- Excellent written and verbal communication skills.
- Proactive and capable of working independently or as part of a team.
- Strong interpersonal skills and a professional, client-focused approach.
- Commitment to Work Health and Safety (WHS) standards.
- Ability to perform additional reasonable duties as required.
