Our teams provide a range of services which include management and finance consulting, risk and cyber, as well as executive services to clients navigating an exceptional range of challenges, changes, and opportunities.
Current opportunity
We are looking to appoint a dedicated and professional Executive Assistant to join our team in Melbourne to work closely with multiple and busy Consulting Partners to provide effective and efficient administrative support to the team.
As an EA you’ll be kept busy effectively coordinating and managing the Partners’ diaries and assisting other members of the team when required. We have a high-performance culture which requires a proactive and resilient individual who thrives under pressure.
What you’ll be doing
- Providing financial administration support to the team to enable efficient management of client work in progress (WIP), debtors, accounts for payment and the answering of any associated queries.
- Managing the team’s compliance requirements in-line with our policies including client onboarding, conflict checks, ASIC searches and client acceptance procedures.
- Collaborating with our Clients & Markets team to assist with preparing tenders for new client work, client presentations, client and/or networking events
- Coordinate team initiatives including functions, scheduling meetings, recording minutes and actions, organising training sessions and employee movements.
- Collaborating with our People & Culture team on initiatives relevant to the team.
- Booking of domestic and international travel for Partners and the team.
- Assisting the Partners with administrative tasks including expenses, timesheets, internal reporting and any ad hoc requests.
- Support for operational management of the team including business development pipeline, resource scheduling and management.
- Documentation of operational procedures and suggesting improvements to practice as well as management of SharePoint site
- Leading operational improvement initiatives
- Providing quality assurance checks of documents for review including basic structure, formatting details etc.
- Document management for client folders in line with operational and audit requirements.
- Working closely with the firm’s administration team to provide support and coverage outside of the immediate team where needed and work collectively as a team to ensure the efficient and effective operation of the service line.
About you
This role is not for the faint-hearted and will keep the successful candidate busy with a variety of tasks. We are looking for an experienced corporate Executive Assistant ideally with prior experience working in a professional services environment.
- Sound experience as an EA in a corporate environment is crucial where you’ve supported multiple stakeholders
- Highly developed interpersonal and networking skills and exceptional stakeholder management
- Proficiency with Microsoft suite products – particularly Outlook, PowerPoint and Excel
- Ability to uphold a high degree of confidentiality, professionalism and integrity with regards to sensitive work-related matters.
- Proactive and conscientious approach, with a willingness to complete all aspects of the role.
- A strong attention to detail and organisation skills (both for self and team).
- A strong level of customer service and high responsiveness to both internal and external stakeholders.
- A willing team player, always happy to assist colleagues from all teams and levels.
- Knowledge of APS, Promaster or Virtual Cabinet favorable but not essential
