Your role at St John of God Murdoch

You will provide comprehensive and collaborative administrative services and support to the OHS and HR Departments.

The Position

  • Provide administrative support to caregivers under the guidance and direction of the OHS Manager/HR Manager.

  • Provide general administration support for the department including use of generic office equipment such as photocopying, faxing, maintaining stationary and hospitality supplies, and maintaining filing systems.

  • Manage communications including telephone, mail and emails. Prepare draft responses on request as required.

  • Coordinate meetings for department caregivers as required.

  • Provide secretarial support to department meetings and ensure typing and distribution of minutes, correspondence and memos is completed in an accurate and timely manner.

  • Assist with the coordination of including, but not limited to:

  • Data entry into OHS systems such as Riskman, Solve & Infosafe.

  • Management of referrals for EIP treatment, fitness for work assessments and RTW planning.

  • Assist with key risk audits, health surveillance support and compliance monitoring.

  • Maintain HSR register as per legislative requirements and assist in facilitating election process for new HSRs.

  • Works with Managers in providing advice and assistance in caregiver performance improvement plans

  • Liaises with HR Service team to provide support with required transactional activities and specialist advice for caregivers and Managers.

  • Assist with the processing of financial invoices in a timely manner.

  • Respond in a timely and appropriate manner to all enquiries.

  • Ensure relevant reporting data is reported and maintained in a timely and accurate manner.

  • Ensure regular reports are produced as required and one off reports as negotiated.

Previous experience in administrative assistant roles including advanced work processing skills with expertise in and knowledge of a range of MS Office packages and data reporting systems is essential to the role. You will have well developed written and verbal communication and customer service skills with the ability to work effectively with a range of stakeholders.

To succeed you will have excellent office system organisation skills with the ability to work independently and prioritise workload to achieve effective and efficient administrative services. You will also have the ability to work within and contribute to a cohesive team environment.

We can offer you

  • Salary: $66,608 to $71,901 per annum, plus 11.5% superannuation

  • Fixed term full time position, working 76 hours per fortnight up to 12 months
