Oberon Council is seeking a dedicated and experienced Technical Services Administration Assistant to provide administrative support to improve the Department’s functionality and enable achieving its objectives.
The Technical Services Administration Assistant works closely and cooperatively with the Technical Services Director and the Technical Services Department to assist in the preparation of reports for Council Meetings, assisting in the management of the Customer Request Management System (CRMS) and record keeping (SharePoint) systems within Technical Services.
This role also assists in the preparation of agendas, minutes and bookings for other Technical Services related meetings, such as Local Emergency Management Committee (LEMC), Local Traffic Committee (LTC), Oberon Sports Facilities Committee (OSFC).
Provides administrative support to the management of the Waste Facilities, including data entry and Environmental Protection Agency (EPA) reporting requirements; provide administrative support related to the Water and Sewage Treatment Plant EPA and Department of Climate Change, Energy, the Environment and Water (DCCEEW) reporting requirements.
Assists with administration of Tender documentation on electronic tendering platforms, such as eProcure.
Administers the Technical Services website content; publish website updates and Facebook posts as required.
Creates Job Numbers for Private Works documents and confirms accuracy of information and completes Plant Take Up Sheets for new plant purchases and completes annual registration of Council fleet.
Manages LiveTraffic entries in OneRoad related to road closures and road works or works in the road corridor within the Local Government Area.
Administer interments, plot purchases and monumental applications, including the completion of relevant contracts, liaison with customers, service providers, funeral directors and Council operational staff and relevant record keeping.
Manages the administration and data entry to the Rural Fire Service (RFS) reporting portal ‘Guardian’ including Council claims, Heavy Plant annual submission, Council bids and estimates on Roadside Hazard reduction works.
Administer road opening/closing applications and assist in the administration of land acquisitions.
Compose detailed correspondence as required.
Occasionally supervise other employees performing the same or similar tasks, as directed.
Essential Requirements
• Certificate III in Administration or equivalent with relevant experience (2 – 4 years), preferably in a Local Government environment.
• Proficient in the use of Microsoft Word and Outlook; computer literate.
• Proficient verbal and written communication and interpersonal skills.
• Demonstrated ability to work effectively, accurately and proactively as member of a team with the ability to multi-task and prioritise both urgent and important matters.
• Commitment to customer service (internal and external) and to contribute positively to the image of Council.
• Current class C NSW Driver Licence
Desirable Requirements
• Familiar with the use of Microsoft Excel.
• Demonstrate active listening skills, using techniques that contribute to a deeper understanding for culturally diverse community.
• Demonstrate motivation to learn new skills.
• Knowledge of the role, functions, and responsibilities of Local Government
