About This Opportunity
We are looking for a highly organised and adaptable Community Engagement and Events Administration Assistant to support the effective and efficient operation of our Community Engagement and Events teams.
Reporting to the Manager, Community Engagement you will play a key role in providing administrative and office coordination support. Your responsibilities will include responding to email inquiries, maintaining databases, managing office procedures, and assisting with general administrative tasks.
In this role, you will work closely with the Manager, Community Engagement, who leads a specialist team supporting The Queensland Commitment and key community engagement initiatives such as the Regional Roadshow program, UQ Neighbours, and Summer School. Additionally, you will provide administrative support to the UQ Events team and The Queensland Commitment team during peak periods.

Key responsibilities will include, but are not limited to:

Provide high-level administrative support to the Community Engagement team following established administrative protocols and standards, including preparing correspondence and invitations on behalf of the university.

Contribute to the success of The Queensland Commitment, providing administrative support for initiatives such as the Queensland Commitment Summit, Regional Roadshow, and other community engagement activities.

Maintain accurate databases, logging event data into CRM and ensuring proper tracking of relevant information.

Assist with event logistics, including producing name badges, place cards, tracking RSVPs and dietary requirements, booking rooms, and taking minutes.

Monitor and respond to inquiries from the Community Engagement group email inbox, and assist with financial administration, including budget updates, reimbursements, and expense management.

About You

Cert IV or Diploma with relevant work experience; Cert III with extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training

Attention to detail and excellent verbal and written communication skills
-
Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook). Familiarity with EventsAir would be considered an advantage.

Effective organisational, time management and problem-solving skills
-
Demonstrated experience in managing multiple projects in a fast-paced environment.

A current Queensland driver’s license.
The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia and a criminal check.
