As our Disability Administrative Coordinator, you will play a pivotal role in ensuring seamless service delivery by coordinating staff, managing client communications, and solving problems efficiently.
Your Key Responsibilities Will Include:
- Scheduling staff to provide continuous 24/7 support for clients receiving high-intensity disability services.
- Managing client liaison and acting as the key point of contact for enquiries and service coordination.
- Maintaining accurate records and ensuring a high level of attention to detail in all administrative tasks.
- Monitoring staff compliance, including checking the validity of certifications, licences, and other requirements.
- Preparing and managing client and service invoices, ensuring timely and accurate processing.
- Problem-solving and handling challenging phone calls in a professional and empathetic manner.
- Drafting and sending clear, professional written communications to staff and clients.
- Assisting with employee coordination and ensuring smooth day-to-day operations.
- Collaborating with the team and sharing on-call duties (one weekend per month, reimbursed accordingly).
About You:
- Proven experience in an administrative or coordination role, ideally within the disability or healthcare sector.
- Strong organisational and multitasking abilities, with a demonstrated capacity to work at a fast pace.
- Exceptional phone manner and strong written communication skills, with the ability to handle difficult conversations and resolve conflicts effectively.
- High attention to detail and accuracy in managing schedules, records, invoicing, and compliance monitoring.
- Ability to think on your feet and problem-solve in a calm, professional manner.
- Reliable and proactive, with a strong commitment to delivering high-quality service.
- Comfortable with sharing on-call responsibilities (one weekend per month) and being reimbursed accordingly.
