Your new role
Based in Katherine, Northern Territory, we are seeking an experienced Executive Assistant to join our team and provide administrative support to the Executive Team. This role is responsible for providing confidential, efficient and effective administrative support primarily to the CEO, and Executive team where required. In addition, this role will have delegated administrative responsibilities that support the organisation.
Some key tasks include:
- Maintain and monitor the calendars and itineraries of the Executive Team.
- Prepare and publish necessary reports, documents, and presentations required for meetings attended by CEO.
- Provide administrative support to the Executive team (CEO, Board of Directors and any other executives as requested by the CEO) as delegated by Executives.
- Coordinate and book company travel and accommodation as required for the Executive and Management teams.
- Prepare agenda and action plans for Management, Executive and Board Meetings, and conduct minutes at each meeting, ensuring that minutes are distributed to the management team promptly. File and store agendas and minutes appropriately.
- Maintain and secure all filing systems within the Executive Team.
- Answer all incoming telephone calls promptly and professionally.
- Liaising with local councils and businesses on behalf of the Chairperson to organise community meetings and events.

- Excellent verbal and written communication skills
- Flexible and hands-on approach to work
- High level of professional presentation at all times
- Great attention to detail
- Demonstrated ability to problem-solve
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
- Certificate III or above, in Business Administration
- Experience in event coordination and stakeholder management is an advantage (desirable)
