We’re currently seeking a highly organised and motivated Dispatch & Logistics Administrator to join our dynamic team. This position plays a key role in the day-to-day operations of our business and is critical in supporting our drivers, customers and management team.
About the Role:
As the first point of contact for incoming customer communications, you will be responsible for scheduling and dispatch coordination, job bookings, customer service, and supporting the administration of our fleet and office. You’ll be part of a collaborative team and work closely with management to ensure the smooth and professional delivery of our services.
Key Responsibilities:
• Receive and manage customer enquiries via phone and email
• Schedule jobs and coordinate vehicle dispatch using ServiceM8
• Monitor job progress and driver locations to adjust scheduling as needed
• Enter and update booking information including vehicle and customer details
• Assist with quoting and liaising with customers regarding services
• Track vehicle registrations, inspections, and book required renewals
• Order and follow up on vehicle parts and equipment as needed
• Assist with maintenance bookings and downtime scheduling
• Maintain accurate vehicle and job records and office supplies
• Support with invoicing and administrative duties as required
About You:
• Prior experience in an administration, logistics, or dispatch coordination role
• Excellent communication and organisational skills
• Strong attention to detail and ability to prioritise tasks
• Confident using computers and job management systems (ServiceM8 preferred)
• Comfortable working in a fast-paced, team-focused environment
• Knowledge of vehicle compliance and transport regulations is a bonus
• Current First Aid certificate (or willingness to obtain)
